Fair Processing Notice: AAT Bursary Scheme - judging panel

This fair processing notice applies to those applying to be on the judging panel for the AAT Bursary Scheme. It describes data collected as part of your application and should be read alongside notices for professional members, licensed members and/or students depending on the nature of your existing relationship with us.
The data we collect about you
- Your name.
- Email address.
- Written statement of why you want to be a judge.
- Any other relevant personal information contained in your application form.
What we do with your data and on what grounds
We will only process your personal data only if we have a lawful basis to do so which is permitted by law.
- For this processing activity, we will process your personal data for the performance of a contract with you. This occurs when this is necessary to fulfil a contract with you or to take steps, at your request, before entering into such a contract.
- We will only use your personal data for the purpose for which we collected it which includes the following:

Automated decision making
No decisions will be taken about you or your application using solely automated means as a result of your application.
Who we share your personal data with?
Your data will be shared with internal AAT staff and, if chosen to be a judge, with other members of the judging panel.
Do we use any data processors?
We also use Microsoft Office 365 to process the application form with Microsoft forms as well as email and for file storage, hosted within the EU, and a third-party email archive system hosted within the UK. We also use a CRM system, Hubspot hosted in Europe. These transfers to the EU are based on the UK adequacy decision of EEA countries.
Where a third-party data processor is used, we ensure that they operate under contractual restrictions with regard to confidentiality and security, in addition to their obligations under data protection legislation. This means that the cannot do anything with your personal data unless we have instructed them to do it. They will not share your personal data with any organisation apart from us. They will hold it securely and retain it for the period we instruct.

How long we keep your data
We will retain applications for up to 3 months following your application, and if successful and appointed as ajudge we will retain your contact details for 12 months alongside details of when you were a judge. We maycontact you during this period for market research into the bursary scheme.

We transfer your data overseas as detailed above with regards to data processors.
